# Sharing

> Share a document with people by username, at a role, show it to anyone with a public link, and serve shared pages from your own domain.

Open the document and click **Share** at the top. Owners, admins and anyone who can edit the document can share it with people. Only owners and admins can create public links. In your personal workspace that's all you.

## Share with people

Give specific people access to one document:

1. In the share dialog, type a name, or someone's exact username like `priya#0427`.
2. Choose what they can do: **Can view**, **Can comment**, **Can review** (comment and approve) or **Can edit**.
3. Click **Share**.

They get it in their Inbox and by email, unless they've turned email off. The document also appears in their **Your account → Shared with you** list.

People in the workspace keep their role everywhere else; a share only ever adds to it on this document. A viewer shared as an editor can edit this one document. People outside the workspace see only this document, and only what their share allows. On the Free and Plus plans, a workspace's documents can be shared with up to 3 people outside it in total; Team has no limit.

You can let people do as much as you can yourself, and no more: a member can share for viewing, commenting and editing, but not reviewing. Change what someone can do with the menu next to their name, or **Remove** them, which takes away their access at once.

People a document is shared with hear about new versions, approvals and change requests, replies in threads they commented in, and review requests if they can review. Notices about documents from workspaces they aren't in show at the top of their Inbox.

Documents shared by email address before usernames still work: the person gets access when they open the document signed in with that address, verified.

## Public links

Under **Public links**, click **New public link**. Anyone with a public link can read the document. They can't edit or comment, and they don't need a planpage account.

A link shows the approved version if there is one, otherwise the latest saved version. It never shows unsaved edits in the working copy.

To create a link:

1. Optionally set a **Password** of at least 6 characters. After a few wrong passwords in a row, visitors are asked to wait a minute before trying again.
2. Choose when it **Expires**: after 1 day, 7 days, 30 days, or never.
3. Tick **Pin to the current version** if later versions shouldn't show on this link. If the document has an approved version, the link is pinned to that.
4. Click **Create link** and copy it.

People reading a public link appear in the document's presence as "Anonymous" and an animal, and they see who else is reading. Their page never receives your working copy, only who is where.

The list of links shows each link's protection (Password, Pinned), its views and when it expires. **Turn off** makes a link show a not-found page from then on. Archiving the document also stops its links working.

## Report a shared page

Every public page has a **Report this page** link. Readers pick a reason, such as phishing, malware or spam, and can add details. planpage staff review reports and can take a page down. A page that has been taken down says so.

## Custom domain

A workspace can serve its shared pages from its own domain, such as `plans.example.com`. Owners and admins set this up in **Workspace settings → General → Custom domain**.

1. Enter the hostname and click **Add domain**.
2. Create the DNS records planpage shows: a CNAME from your hostname to planpage's sharing host, plus any verification records.
3. Click **Refresh** until the status reads **Active**.

Removing the domain makes shared pages load from planpage's own sharing host again. Links people already have on your domain stop working.
